APU Journal
  • The Journal wants to pay Emily $200 for her help with the journal and training of Josh, the new editor
  • Josh got the full tuition remission this semester
  • Someone from the journal should have talked to Linda about giving some of the tuition remission to Emily
  • It is a possibility that a portion of Josh's tuition remission can be given to Emily next semester
  • The APU Journal is asking for $700 for new software, so that they are not running between 4 computers
  • Possibly pay $350
  • Clubs should have to prove why they need the money
  • The APU Journal check request will be passed based on the contingency of their budget. Lael approved, Alex seconded.
 
Winter Dance
  • To make the dance better next year, advertise earlier
  • Possibly have donations instead of having people pay for tickets
  • Book a place now
 
Anything Else
  • The next meetings will be January 19 and 26 @ noon
  • Possibly cleaning up the office during Christmas break
  • South Seas Dance?

Winter Dance
  • Still need to work on advertisement and decorations
  • Jess Haley needs more details to make the posters
  • An e-mail about the dance was sent to all the students
  • Nilar is going to work on getting tablecloths
  • Winter colors like, blues, whites and silver will be used for the dance
  • Decorations on the table will be set up by Meghan and Naira
  • The band still needs to contact Jenny
  • Lael is looking for a new DJ because the other DJ is hard to get a hold of
 
Student Center
  • Draft a possible layout for the north side of Atwood
  • Suggestions are still needed for ideas
  • Possibly trying to find someone in the APU community who is a carpenter to help with the student center
  • ASAPU has $5000 for the student center
 
Journal Article
  • The deadline for the next issue is today, November 20
  • Naira and Jose might write up something for the dance
  • Maybe we should have an ASAPU member dedicate time to investigate ASAPU projects and help with write-ups from for the journal
 
Confidentiality
  • Board members must remember that information we receive during meetings must stay confidential
 
Undergraduate Committee
  • There was a word change in the grade appeal process. The word injustice has been changed to capricious.
  • Students have 5 weeks into the next semester to appeal a grade
  • There is going to be a student on the hiring committee next year
  • There also is going to be a student on the enrollment task force committee
 
Anything Else
  • Next semester we are going to strive to have a meeting time at noon
  • Kelly Smith wants to meet with an ASAPU member to find out what is going on with the dance. Jose will go and see him next week

Winter Dance
  • Jenny is going to be working with Kelly S. on the alcohol policy
  • Jose and Nilar picked up the tickets
  • Each member will be given 20 tickets
  • A prize will be given to the person who sells the most tickets
  • Jose is going to work on a system to keep track of how many tickets are sold
  • Nilar is going to give us an exact quote for catering next week
 
Check process
  • The check writing process is being looked at right now
  • At this time it takes up to 48 hrs to receive a check
  • Some checks have taken longer because of lost or incomplete check requests
  • The journal is having problems with the check process
  • Check writing hours are going to be posted outside the office to help speed up the process
  • Jeremiah, Nilar, Naira, Kelly S, Linda, Kim Rich, Kathlene, and RHA are going to meet and try to figure out a check process that works for everyone
 
Early Honors Representative
  • Tanner has not received his leadership award
  • The Dean of Students does not have enough money in their budget to pay Tanner
  • ASAPU will pay this semester's award of $450 and hopefully the Dean of Students will be able to pay for next semester. Jenny approved, Jeremiah seconded.
 
Undergraduate Committee
  • The grade change policy is going to be reworded
  • The class Eros of Everyday Life has not been approved yet
  • There is a possibility of creating a template for the class syllabis
  • Possibly changing course objectives to learning objectives in the class syllabis
 
Faculty Assembly
  • Outlining a definition for active learning
  • There are 8 finalists for the academic dean
  • The top 4 finalists are coming to visit in the beginning of December
  • There is going to be a student on the hiring committee next year
  • There also is going to be a student on the enrollment task force committee
 
Anything Else
  • Doug North has given us the green light for using one side of the cafeteria as a temporary student center
  • The dog policy is going to be enforced. All dogs need to be on a leash and registered with the info desk.
  • Cars parked in the fire lane at the back of Atwood will be towed.
  • There might be 20 minute loading zones in the Grant Hall parking lot
  • A place for service vehicles needs to be established for the back of Atwood
  • ASAPU won a teambuilding session at the Psychology auction
  • The possibility of adding a Journal Representative to the board was briefly discussed

Winter Dance
  • Will sign the contract for the Performing Arts Center this week
  • It is going to cost about $1500-$1700 to rent the PAC
  • Jenny is working on the alcohol waiver
  • Lael hired DJ Joe and is waiting for the contract from him
  • Jenny is working on getting the band
  • Jenny and Lael are going to come up with a schedule for when the band and DJ play
  • Nilar is going to be catering for the dance. Once it is decided what exactly is going to be on the menu, she will give us an exact quote
  • Let clubs know when the dance is, so they don't schedule events on that day
 
Moose Costume
  • If anyone wants to make suggestions on the moose costume letter to residence life, give them to Lynn
 
Library Permit
  • UAA students do not have to pay for a parking permit at the Consortium Library, but APU students do
  • APU pays for 1/9 of the library's budget
 
Anything Else
  • Swing Lessons, November 20 @ 7pm-Atwood Center
  • Jeremiah is asking for $150 for the instructors. Jenny approved, Lael seconded
  • Jose is going to talk Kelly S. about needing more support from him. Kelly seems to be more of a risk manager than an advisor.
  • The Business Office told the APU Journal that they cannot have their own bank account

Budget Report with Jose
  • Still waiting for the check from the Business Office
  • $1500 from this semester's budget had to be used for the Winter Dance
  • Theatre Benedict was inactive last semester and it is possible that ASAPU will get their budget if that club stays inactive
  • Theatre Benedict's budget is $4000
 
Old Business
  • Mardi Gras Dance
    • Setup for the dance will be at 8pm
    • Last year's decorations will be used
    • There will be a one dollar cover charge
    • Naira and Meghan will not be able to spend the night
    • The rooms will be raffled off before the dance
    • It will be put on the flyers to e-mail or call ASAPU to enter the raffle
    • There will be rules and regulations for the rooms
    • Andy will check IDs at the beer garden
    • The pool will be open for the whole dance
    • Shuttles will start at 10pm and maps will be given out
    • If anyone wants certain songs played, just leave the titles in Andre's box
    • ASAPU members should stay overnight to make sure everything is under control
  • Bus Passes
    • Andre is waiting for a new quote without staff and faculty
  • Student Center Petition
    • Put finished petitions on the cork bulletin board
  • Leadership Retreat
    • ASAPU members, RAs and staff members attended
    • It was decided to have 5 goals to be accomplished or at least started by the end of April
    • The five goals:
      • Starting the honors program back up
      • Getting more gym and pool time at Mosley for students
      • Working on getting kitchen-based housing on campus
      • Putting out a brief newsletter that tells about the events coming up
      • Putting together a proposal for the student center

New Business
  • ASAPU Web Page
    • Marissa sent an e-mail to get bios from everyone to put on the website
    • Marissa also is getting clubs meeting times to put on there
  • ID Machine
    • The wire that connects the camera to the computer needs to be fixed or replaced
    • IDs cannot be made until we get the wire fixed or replaced
  • Undergraduate Committee
    • After a recent situation, the committee is looking at reforming the grade change policy
    • They are looking at grade change policies at other universities
    • If you have any suggestions, leave it in Marissa's box
  • Anything Else
    • There will be a meeting on Tuesday at 5:45pm in front of the ASAPU office to discuss issues that came up during the retreat

Old Business
  • Bus Passes
    • The quote from People Mover is $3,000 for the calendar year
    • The bus passes are for students, staff and faculty
    • There is a possibility of raising the student activities fee by $10 next year to help pay for the bus passes
    • Either Sarah B. or Andre will go to staff and faculty assembly to see if they would donate money to help pay
    • Staff assembly is the 2nd Friday of each month and faculty assembly is the 4th Friday of each month. Talk to Melissa about staff assembly
  • Mardi Gras Dance
    • The dance is going to be held at the Alaska Wilderness Plantation
    • It will cost $1,200 without accommodations
    • The dance will be February 28, 2003 from 9pm-1am
    • There will be a tighter alcohol policy
    • Andy and his staff will be in control of selling alcohol
    • Residence Life has decorations that could be used for the dance
    • Jose needs to be contacted because we need the budget report for this semester

New Business
  • DCP Representative Situation
    • Sarah B. would like to stay involved with ASAPU but she is registered with 10 credits and is not considered a full-time student and will not be able to receive her leadership award
    • The ASAPU constitution states that each member needs to be a full-time student (12 credits) to get his or her leadership award
    • For DCP students full-time is 6 credits
    • Sarah would be fine if she just got paid for the 10 credits instead of the full leadership award
    • Kelly S. suggests that maybe a DCP student have at least 9 credits to be able to be apart of ASAPU
    • Make this a rule rather than an exception in the by-laws of the constitution
    • Kelly S., Sarah B, and Meghan will work on this situation
  • Student Center Petition
    • Kelly M. put together a petition for the student center
    • If you have any suggestions or changes for the petition, let Kelly know
    • There should be a space on the petition where students can put suggestions and comments about where they would like the student center as well as what they would like to see in it
    • Keep the message board current by erasing old messages
    • It seems like right now that it would be too expensive to turn a house into the art center
  • Graduate Representative
    • There are two applicants for the graduate representative position
    • Viola and Alex both have served in ASAPU when they were undergraduates here
    • A decision will be made in an executive session on Friday after the LEGO meeting
  • Anything Else
    • Leadership retreat at the Kellogg Farm
      February 21-22, leaves at 1pm Friday and returns 4pm Saturday
    • The business office is going to be auditing soon
    • Kelly S. wants to help us with our books so that we will be able to keep the checkbook in the ASAPU office
    • Need to come up with guidelines and policies for how the money is spent
    • In the future an accounting computer program might be something to invest in
    • Times for all the committees will be available at the next meeting
    • Everyone needs to turn in their Bios to Andre by Thursday
    • These will be in the APU Journal and will be the beginning of articles about ASAPU in the school paper

  • Office Hours
    • Get your office hours into Naira as soon as possible
    • Try to keep the office open between 12-7pm
    • The office will now be open on Saturdays to take IDs
  • Open House
    • The ASAPU Open House is tonight at 5:30pm
    • The office cleanup is at 1pm

New Business
  • Bus Passes
    • Andre is talking with People Mover to get bus passes for APU students
    • People Mover will be calling this week with a quote on prices
  • Mardi Gras Dance
    • Plan to have it on February 28, the weekend before Mardi Gras
    • Waiting for the Alaska Plantation Hotel to call back
    • Will get the food and alcohol through Andy
  • New ASAPU Policies
    • Check requests need to be received 48 hours in advance
    • Mondays, Tuesdays and Saturdays are dedicated to taking IDs, otherwise students will need to make an appointment
    • Remember to keep the doors open and lights on when working in the office
    • Keep the message board current by erasing old messages
  • Anything Else
    • Should be receiving a check from the business office for block by the 14th
    • By the middle of this month, we need to advertise positions for next semester
    • Tina is asking for $162.50 to buy tickets for STOMP in April
      Will have an answer by Friday
    • Todd is putting together a proposal for opening another house up for students on the row
    • Student activities is putting together a spring break trip to go to Chena Hot Springs and Eagle River
    • UAA student body president stopped by to meet us and maybe combine forces for certain events
