Approval of Minutes
- Jenny approved

ASAPU Budget
- $4783.00 left in the ASAPU budget
- A thank you letter should be sent to Steve Shore for all his help with researching computer software prices
Budget Committee
- The luncheon went well, all the club members that showed up received their budget
- Appeals for the budgets are due April 9 and then the board will vote on it the following meeting
- The APU journal wants to know why their budget is smaller than it usually is
- The Journal has only spent about $5500 in the last two years and they were given over $7000
Student Center
- $5419 has been spent on the student center and we have $581 left
- Policies need to be made regarding when people can eat there and who will be in charge of checking the student center out for events
- Next semester, we should work on getting artwork and plants
- Possibly buy something from the art show
- Motion to approve getting a coffee table and another table with chairs
- Jeremiah approved

- Jose will get the furniture
Maxine Yagie Memorial Grant
- Talked to Becky and we just have to tell her the name of the person who gets the scholarship and a bookstore charge will be charged to ASAPU
- Sent the form to Peter Miller and he sent an e-mail out about the scholarship with the form attached
- Forms are also in the office
- Deadline is April 16th so it can be given out during Honors Assembly
Susan James Scholarship
- Annette is passing the word around
- Forms are in the office
Elections
- The Candidates Speak out has been moved to Friday because the deadline for applications has been moved to April 6th
Tuition Remission
- If anyone has any ideas or suggestions on how to improve the proposal leave it in Lael's box
Anything Else
- Jose will talk to People Mover about having students still ride the bus free during the summer
- If you have any ideas or suggestions on what the meal plan should be, talk to Kelly Smith
- Undergraduate committee is still working on finalizing the template for class syllabi
- Everyone needs to learn how to check messages on the phone in the office

Tim Johnson Senior Project Proposal
- Tim went ahead and bought a laptop and software for his project
- The new proposal is asking for $489.95 for SAN labels, memory card and reimbursement for the software
- There will be an executive meeting after this meeting to determine an amount
ASAPU Elections
- The deadline is April 2nd
- There needs to be advertisement for elections and election workers
Music Room
- The sound equipment in the room has not been returned in a timely fashion
- There needs to be a written policy about checking the equipment out
- There also needs to be an inventory taken of what equipment is ASAPU's and what is Eric Redding's
- There needs to be a master list of all of ASAPU's equipment on campus
Anchorage Concert Association
- To get a discount, the IDs would have to say full-time student
Maxine Yagie Memorial Grant
- It basically would be a bookstore charge charged to the ASAPU account
- Have to finalize the details with Becky in the Business Office and Peter in Financial Aid
Susan James Scholarship
- Jenny is working with Annette on this scholarship
Coffee Machine
- We have decided to send the coffee machine back to James Christmas
- Jenny approved

Tuition Remission
- Lael put together the proposal and Jose needs to send in the paperwork
Anything Else
- Kappa Delta Pi is asking for $110 for their spring initiation/goodbye lunch for Diana Caldwell
- It will be for BQ supplies and gift for Caldwell

Student Center
- We still need to buy lamps
- There is a possibility of having a portable stage in the student center 8x8?
- Need to come up with an arrangement for how the student center is going to look with all the new furnishings
- The student center planning committee meeting went really well, a lot of people showed up and gave great ideas
- Night student issues were not brought up as much during the meeting
Budget Report w/Nilar
- There is $4968.03 in the ASAPU budget
Freshman Representative
- Jason Drogowski was the only one to turn in an application for the position
- Jenny motioned to approve Jason as freshman rep
- Jeremiah seconded
Tim Johnson Senior Project Proposal
- ASAPU will pay $1298 for the equipment he needs based on these terms
- He receives $500 from the VIP Grant
- The computer and software belongs to ASAPU
- Students can check the laptop out either through Steve Shore or Jason Geck
- Tim gets to check the laptop out until he has finished his senior project
- If Tim does not receive the VIP Grant then we will meet again to discuss paying the full amount
- Another option is to buy the software and put it on a computer in the apple lab or ASC with Steve's permission

- Jose would like to put together a newsletter about what ASAPU has done for the students this past school year, what clubs have been doing, etc.
- Advertisement and election packages for ASAPU elections need to get started this week
- Student satisfaction surveys are going to be handed out soon to help with the reaccreditation process
- APU is up for accreditation in two years
- A PFD speaker is coming to APU on March 18 at noon
- Michael Kutscheid from Kappa Delta Pi would like to find out how to be a recognized club
- Jeremiah will give him the paperwork he needs

- Kelly S. mentions that he can apply for the VIP grant

- $210 was raised at the winter dance and we need to determine what charities the money is going to
- Half will go to Tim Hewette and the other half go to a conservation organization
- Jenny will work on which organization will get the money
- The paperwork for the Susan James Scholarship was sent to Annette
- Meghan will work on the Maxine Yagie scholarship
- A meeting regarding the upcoming reaccreditation process will be on Tuesday, March 9 8:30-10:30am and a meeting involving the students will be held at 11am
- Undergraduate committee met this week
The highlights are as follows:
- The course Business ethics/law is going to be back in the catalog next semester
- Creating a template for what should be on a course syllabus
- Lael is continuing to work on the tuition remission raise
- An estimate that she is working with is a $533 raise for every member
- Residence Life is currently looking for a new assistant director
- A possibility of having Mac sell movie tickets to DCP students
- Will have to talk to the bookstore and residence life about it

- Possibility of having a sound system instead of a TV in the student center
- Kaladi Brothers donated a coffee machine; the issue is where does it go?
- Another question was who will buy the coffee and who will run it?
- Jeremiah is going to talk to Melissa Turner about the coffee situation
ASAPU Elections
- The election will be on April 13, 14, and 15
- Election times will be 9am-9pm
- Need to find election workers
Open Positions
- The deadline for freshman rep is next week
- There are two people running for non-traditional rep: Patty Vessel and Jennifer Swacina-Parks
Residence Life Proposal
- Residence life pays $5.50 each for movie tickets and students pay $3 for them
- Residence life is asking that ASAPU pay the remaining $2.50 per ticket
- Motion to approve $500 for 200 tickets
- Lael approved

Anything Else
- The Nez is not a recognized club and Jeremiah is requesting that we freeze their account
They do not have meetings, do not turn in event forms, or come to LEGO meetings

- Home Reconditioning will be refurbishing the couches that are in the office for the temporary student center
- Decided to get new foam for the coaches
- It will cost $185 for new foam
- Decided to get a gold/green pattern fabric for the couches
- It will take about 2-3 weeks to get the couches finished
Sophomore and Graduate Representative
- Hailima Yates and Joe Rudi are running for sophomore rep
- Joe Rudi just became a junior after block
- Evelyn Yobera is running for graduate rep
Anything Else
- Lael is working on figures for the tuition remission for ASAPU members
- Money is set aside each year in the ASAPU budget for the Susan James scholarship
- On Thursday, February 19 at 12pm and 4pm in the ASC there will be informational meetings about the Eco League
- The APU Journal needs people who have ideas about articles and/or want to write articles
- The deadline for the first draft is February 20
- Nilar is working with Becky on getting a petty cash policy established
- The petty cash will be in a locked cabinet
- We need to make a policy for approving conferences for individual students

Student Center
- Another potential layout for the student center has been put together with estimates on how the furniture would cost
- We are going to ask if we could use the tables from the liberal studies lounge
- Ask maintenance how they can secure a 50 in TV in the student center
- Set times for the use of the television in the student center
- Volume control is another issue to look at
- A proposal can still be put together without all the details finalized
Retreat
- February 20-2pm-back of Atwood
- One van is reserved and another one might be needed
Petty Cash
- A written policy needs to be in place
- No more than $50 will be in petty cash
- Talk to the business office about their petty cash policy
Check Request
- Jenny is asking for $600 and Jeremiah is asking for $560 to go to a women's march on April 25 in DC
- This march would help Jenny with her senior project, which is to create a women's center on campus
- It is tabled until we know more about the budget
Anything Else
- n e-mail with the change of passwords was sent out, if you did not get one talk to Jess Haley and she will let you know the passwords
- Lael is going to do the IDs in Grant Hall on Wednesday
- Acceptable use policy has been revised
- Kelly would like feedback on the 2 year calendar that is being put together

Student Center
- A potential layout for the student center has been put together
- Jose and Lael went furniture shopping and took pictures of possible furniture items
- Looking at neutral colors for the furniture
- In the proposal ask the executive committee if university funds can help pay for the furniture since it will be put all around campus once a student center is built
- The tables in the liberal studies lounge are an option as well to use for the temporary student center
- The space where tables and chairs are stored cannot not be used as potential space for the student center
Coordinating Council
- The Eco League is going to start next fall
- The league has six schools and students can choose to go to a school in the Eco League for a semester and pay the same tuition they are now
- Only sophomores and juniors can do this program at this time
- Eco League students will not get priority over APU students and classes will not get bigger because more sections will be added
- The deadline for the fall semester is February and for Spring it is October
Anything Else
- Alex has resigned as Graduate representative
- Jess Haley is the new office manager, please give her your office hours for session
- If it is possible, we want to give away the Susan James Scholarship during Honors Assembly
- Tanner is working on getting discounts at the Performing Arts Center
- We are going to set up a place in Grant Hall to take IDs for DCP students
- Meghan will do Tuesday and Jenny will do Wednesday
- Lael will work on the tuition remission increase for leadership awards
- Jeremiah will go to Coordinating Council for now on
- Jose will go to Graduate Studies Committee
- Senior class gift-invite the DCP students to be involved

- There is $500 left from last semester
Student Center
- Melissa Turner is now the Auxiliary Services Director
- If we can come up with a layout for what we want the student center to look like, she can help us by giving us costs and let us know the implications of using the north side of the cafeteria
- Definitely want comfy furniture (no wood or leather)
- The furniture will be temporary until the student center is built
- Once it is built the furniture will be spread around campus
- Furniture shopping on Thursday morning
- Have student art on the walls
- Write an article on the Student center proposal
Check Request
- Yaso Thiru is asking for $1500 for food at 6 DCP gathering events throughout the semester
- It would be $250 per event at the most
- Will pay half ($750) for now
- Possibly try to get SIFE and Accounting Club to help sponsor as well
Anything Else
- Lynn is going to advertise the Sophomore Rep
- The deadline will be February 13, 2004 and the board will vote on it on the 16th
- Jess Haley is going to start as office manager on February 2nd
- Jenny is going to work on getting the Susan James scholarship started again
- It was created in memory of an ASAPU Member who died
- ASAPU elections will be April 15th
- Kelly Moore was going to Coordinating Council last semester
- Jeremiah will go this week
- Register vehicles!
- People can parking stickers from the info desk, ASAPU office or Dean of Students
- Need to streamline a process for paying individual students who freelance write, DJ at a dance, etc.
- Meeting will be held to handle this problem
- Students who receive leadership awards might have to take a leadership class for next school year-similar to RA class (1-2 credits)
- Might take RA class out of the catalog and put a general class for everyone receiving a leadership award
- ASAPU retreat will be February 20-2pm-Feb 21-2pm
- PJ is going to take over as president for the Wisdom club

Bookstore
- Lydia and Tony would like some input on new ides and items in the store
- Let the clubs know that they can order shirts and items through the bookstore
- Kelly Smith suggested that the bookstore get more outdoorsy clothes, like fleece vests
- Another idea was to have a t-shirt design contest at the bookstore
- The pizzas that ASAPU had been purchasing has been turner over to the bookstore
- The bookstore is also trying to get coffee in the store
- Tony and Lydia will go to the Lego meeting on February 6, to let the clubs know that they can order through them
- Alex is working with a group of students to design a new logo for APU
- They have to make sure to consult Lydia and Tony about the new design
Student Center
- In the next two years there is a possibility that there will be enough money to fund the building of a log-style student center
- It would probably be the size of the art room
- Jose and Kelly looked at furniture for the student center
- There still should be a short-term solution for a student center
- A possibility is that we use the other side of the cafeteria, maybe make it look like a log cabin, so we can use the same furniture for the new building
- Everyone at the meeting agreed it was a good idea to start a temporary student center
- Tabled until more members get a chance to put in their input
Team Building Workshop
- A date needs to be set for this workshop
- Kelly Smith is going to have a leadership retreat for all students on Feb 20 at Beach Lake
- Possibly combine the two events
ID Machine
- There is a possibility that the registrar will take over the ID machine or share the responsibilities
- ASAPU making the IDs has been a negative experience for non-traditional students as of late
- Possibly have a checkout camera for DCP students, so that they can e-mail the picture
- Possibly set up for a week before and after classes for DCP students
