Registrar

JOB SUMMARY: The Registrar is responsible for the planning, oversight, and management of all student academic records and for the administration of all services and operations in the Registrar’s Office.

REPRESENTATIVE DUTIES

Oversees the management, integrity and security of all student academic records as well as promoting and implementing departmental policies and procedures for the equitable and consistent administration of the University’s academic policies and procedures.

Coordinates and manages all aspects of student records.

Directs and supervises staff located at the Registrar’s Office. Manages personnel performance and office functions to ensure an effective operation with excellent customer services.

Develops and implements registration policies and procedures in coordination with other departments (business office, financial aid, admissions, etc).

Develops the Registrar Office operational budget requests and manages approved budget accordingly.

Serves as the official resource and compliance officer of FERPA regulations.

Oversees registration related functions of student information system including establishing, with departments, appropriate enrollment caps, course wait listing policies and procedures, and manages “no show” and “early warning” reporting from faculty.

Oversees compilation of degree candidate’s lists and honors lists.

Supports Provost with class schedule production including classroom assignments, review of appeals regarding grades and other academic issues including orientation of new faculty and catalog revisions.

Oversees course number assignments for class schedule and catalog publication and for entry into CAMS Enterprise system.

Develops and provides overall supervision of transfer credit policies and evaluations including determination of acceptance of courses/credits from non-accredited institutions.

Proposes two-year academic calendars for review and approval of administration and faculty assembly.

Provides leadership in the continuous improvement and enhancements for student and faculty portals with emphasis on the implementation of on-line registration, providing web services for continuing education constituencies.

Participates as ex-officio member of the undergraduate and graduate curriculum committees and the University Coordinating Council

Oversees graduation ceremonies.

Provides the university community and outside agencies with appropriate summaries and interpretation of current and historical data related to faculty, students, enrollment, FTE, student achievement, etc.

Provide data for IPEDS, NC-SARA, and other annual reports.

Work with other departments within University to provide different data sets for program/accreditation reviews.

Oversee VA and other military related tuition assistance programs. Serve as backup or primary School

Certifying Official when the need arises. Performs other duties as assigned or required.

KNOWLEDGE and SKILLS

Knowledge of student information system software.

Knowledge and experience working with various database applications and other computer software packages.

Skill in organizing and interpreting data for the college and outside agencies.

Knowledge of federal laws regarding confidential access and information of student records.

Knowledge with the interpretation and implementation of academic records policies and procedures.

Skill in developing and maintaining an effective office team and ensure excellent customer relations with students, faculty, university staff, and external constituencies.

Skill in providing exceptional service in all responsibilities and interactions.

Skill in adapting to changing priorities and responsibilities.

Skill in maintaining a high level of accuracy, consistently reviewing work to detect errors, oversights or omissions.

Skill in verbal and written communication appropriate to a collegiate setting.

Skill in working effectively with a diverse population.

Skill in managing multiple tasks and details in a fast-paced work environment.

Skill in showing a commitment to ethical values in the workplace.

Skill in demonstrates commitment to working closely with students as individuals and in groups.

MINIMUM EDUCATION QUALIFICATION

Bachelor’s degree required.

MINIMUM EXPERIENCE QUALIFICATION

Non-Supervisory: Three (3) years’ experience working in a Registrar’s office or similar positions dealing with student records, institutional research, etc..

AND

Supervisory: Two (2) years management experience.

PREFERRED QUALIFICATIONS

Master’s Degree is preferred. Experience in a higher education setting preferred
