Payroll & Benefits Coordinator

Prepares and processes the University payroll for all staff, faculty, adjunct and student employees; maintains accurate complete payroll and accounting records. Also provides administrative support to the Controller on donations, budgeting items, and student accounts.
REPRESENTATIVE DUTIES
- Performs entire payroll process, from initial employee hire, entry to payroll program, payroll calculation including tax deposit and electronic bank direct deposit transmission, through distribution of paychecks.
- Maintains current knowledge of payroll related laws, APU employment policies and benefits programs.
- Maintains up-to-date payroll files for all employees.
- Trains employees on the use of electronic timekeeping and payroll-related information access.
- Prepares all payroll related reports for state and federal agencies.
- Analyzes and reconciles payroll and benefit-related general ledger accounts.
- Verifies retirement calculations, uploads and forwards for payment, tracks bi-monthly retirement contribution name and amount.
- Calculates and submits third-party withholdings and reports (CSED, etc.).
- Reviews and verifies eligibility and premium amounts on invoiced employee benefits and conforms same within payroll program.
- Assists new employees in orientation on payroll procedure and electronic timekeeping processes.
- Prepares, verifies, submits and distributes year end W-2s.
- Maintains and verifies PTO balances, sabbatical leave, and leave without pay.
- Produces various reports for management and administration, including PTO accrual reports.
- Prepares annual audit work papers for payroll and benefits-related accounts.
- Provides support to auditors during annual Workers Compensation audit.
- Support the Controller with donations, updating budget officers, and helping with student accounts.
- Performs other duties as assigned or required.
KNOWLEDGE and SKILLS
- Knowledge of state pay federal payroll reporting requirements.
- Knowledge of principles and practices of human resources, specifically compensation and benefits.
- Skill in computerized payroll processing and benefits administration.
- Skill in maintaining and exhibiting a positive professional manner in dealing with others.
- Knowledge and understanding of US GAAP general ledger accounting.
- Skill in utilizing Microsoft Office products, specifically Excel and Outlook.
- Skill in utilizing payroll processing software programs.
- Skill in organization and follow-up.
- Skill in both verbal and written communication.
- Skill in working with minimum supervision.
- Skill in working well under pressure and meeting scheduled timelines.
- Skill in working effectively and cooperatively with all levels of management and staff, as well as outside business associates.
- Skill in maintaining confidential employee & student information.
MINIMUM EDUCATION QUALIFICATION
Associates Degree in Accounting. Professional work-related experience, education, or training may be substituted on a year-for-year basis for college education.
MINIMUM EXPERIENCE QUALIFICATION
Non-Supervisory: Two (2) years of payroll and benefits administration experience.
PREFERRED EDUCATION/EXPERIENCE QUALIFICATIONS
Bachelor’s degree in Accounting, Finance, Business or related field
Experience working with Paylocity accounting software
Strong working knowledge of Excel
FPC and/or CPP Payroll Certifications
